Master Team Page

The one page the PinoyHack team runs from: who owns what, how submissions and judging work, the outreach game plan, and the 100 named student org officers at UP Diliman, Ateneo, De La Salle, UST, and Mapúa who can carry PinoyHack into their org group chats. Nobody on this page has been contacted yet.

The team: who owns what

A hackathon this big runs on clear owners, not group chats and good intentions. Every key job has one name on it. Seats marked open are real jobs waiting for a person: if you want one, raise your hand in the Discord and show us your work.

Hackathon Director

Held by: Dave, founder

Owns the whole event. Dates, theme, rules, prizes, and every final call.

  • Sets the date and theme for each hackathon
  • Opens the event and announces the winners live in the Discord
  • Approves rules, prize changes, and everything public
  • Breaks ties and settles disputes, kindly and fast

Marketing Manager

Held by: Sam, Social CMO

Owns getting the word out and how it looks, so the right students hear about PinoyHack and it feels like one joyful thing everywhere it appears.

  • Runs the social posts and the weekly content schedule
  • Makes one strong poster and shareable clips for every announcement
  • Guards the brand: the golden sun, the flag colors, and the clean Studio style
  • Builds the winners wall and the winner graphics, with templates ready so the team never starts from a blank page
  • Works the school and community campaigns with the Outreach Lead
  • Reports one number weekly: Discord joins

Community and Discord Lead

Open seat (Sam covering for now)

Owns the server day to day, so a new member feels at home in minutes, not days.

  • Welcomes every new member by name, fast
  • Keeps channels tidy and conversations kind
  • Runs the weekly rhythm: Friday show your work, weekly wins, one live hangout
  • Flags problems and great members to the Director

Technical Lead

Open seat

Owns the website and the machinery of the hackathon: submissions work, entries display properly, and judging actually functions on the day.

  • Keeps pinoyhack.com fast, correct, and up to date
  • Builds and owns the submission intake, so no entry ever gets lost
  • Builds the entries gallery and the People's Choice voting
  • Tests the whole flow end to end before opening day

Submissions Coordinator

Open seat

Owns every entry from the moment it lands to the moment judges see it.

  • Logs every submission and confirms receipt to the builder
  • Clicks, plays, and watches every entry to check the link works
  • Sorts entries into tracks and tags Made on Your Phone builds
  • Chases missing links or files before the deadline, kindly

Judging Lead

Open seat

Owns fair judging that builders trust, win or lose.

  • Recruits two to three judges per track
  • Writes one simple rubric for all tracks: fun, craft, diskarte, finish
  • Collects scores, checks them, and guards against funny business
  • Hands the winners list to the Director for the live announcement

Prizes and Payouts Lead

Held by: Tippy, with Dave

Owns the ₱12,000, from the published breakdown to money in winners' hands.

  • Keeps the prize table on the site current and honest
  • Verifies each winner in the Discord before any payout
  • Runs payouts through Tippy, only after the Director approves
  • Posts a public receipt for every prize paid

University Outreach Lead

Open seat

Owns the First 100 list below, our bridge into UP, Ateneo, DLSU, UST, and Mapúa.

  • Works the 100 top down, externals officers and presidents first
  • Sends drafts to the Director for a yes before anything goes out
  • Logs contact, reply, and forward for every person
  • Reports joins per school every week

Track Leads (four seats)

Open seats: Games, Music, Videos, Websites

One lead per track, a real builder who knows the craft and carries their track's energy.

  • Answers builder questions in their track during the build window
  • Runs a showcase thread and hypes every entry in their track
  • Hosts one office hour or live session per hackathon
  • Shortlists the top five finalists for the Judging Lead

Submissions: the Google Form is the official record

Dave added the Google Form as the safety net for the whole hackathon. If Discord, the website, or the judging tool has a glitch, every submitted entry still exists in one complete record that the team can work from.

The rule every team member should know: a Discord post by itself is not an official entry. An entry becomes official when the builder submits it through the Google Form before the deadline. The form response is the record the team uses to load that entry for judging.

1. Google Form

Official intake

The public form is titled PinoyHack: Submit Your Entry. It is live, accepts responses from anyone with the link, and is the intake linked from Step 3 on pinoyhack.com.

2. Google Sheet

Permanent backup

Every response lands in PinoyHack Entries with an automatic timestamp. If the judging list ever has to be rebuilt, the team starts from this Sheet instead of hunting through Discord.

3. Discord and judging

Community and scores

The Discord post is the community copy: it lets people discover, enjoy, and react to the work, and it is the surface for People's Choice. Judges score in the separate judging tool, where each judge uses a 1 to 10 slider.

Exactly what the form asks

There are six questions. Five are required and one is optional. Google adds the timestamp automatically in the response Sheet; the timestamp is not a question the entrant has to answer.

#FieldRequiredWhat the entrant gives usHow the team uses it
AutoTimestampAutomaticThe date and time Google received the response.Keeps the responses in submission order and gives the team an audit trail.
1Your nameRequiredThe builder's name.Identifies the creator on the entry and in the winners announcement.
2Discord usernameRequiredThe builder's exact Discord handle.Lets the team find the builder in the server, confirm receipt, and ask about a broken link.
3TrackRequiredOne choice: Games, Videos, Websites, or Music.Places the entry in the right judging group.
4Link to your entryRequiredThe public link where the work can be played, watched, heard, or opened. This exact link is loaded into the judging tool for the judges.
5Was this made entirely on your phone?RequiredYes or No.Flags the entry for the Made on Your Phone special category.
6Anything we should know about your entry?OptionalA paragraph of notes for the team and judges.Carries useful context such as controls, credits, tools used, or anything the judges should understand before opening the entry.

Made on Your Phone is not a fifth choice in the Track question. The builder chooses one main track, then the phone question separately flags the entry for that special category. This lets a phone made game, video, website, or song stay in its proper track and still be considered for the phone category.

How an entry moves through the system

1

Builder posts in Discord

The builder shares the work in the Pinoy Hack Discord so the community can see it, react to it, and enjoy it. This post matters, but it is not the official submission record.

2

Builder submits the form

The builder completes PinoyHack: Submit Your Entry before the deadline. Once that response is saved, the entry is officially in the system.

3

Team works from the Sheet

The Submissions Coordinator checks new rows in PinoyHack Entries, confirms the Discord username, track, entry link, and phone flag, and loads the entry into the judging tool.

4

Judges score separately

Judges use the PinoyHack judging tool and score each loaded entry from 1 to 10. Scores live in the judging tool, not in the Google Form or the Sheet.

Team workflow and guardrails

Moderator checklist

  • Start with the Sheet. The newest official entries are the newest response rows.
  • Check all four key fields. Discord username, track, entry link, and the phone made answer must match what gets loaded for judging.
  • Open every entry link. Confirm it loads before judging begins and use the Discord username to find the builder if it does not.
  • Preserve the record. Do not treat Discord as the backup. The Sheet is the recovery source if a judging entry is missing or has to be loaded again.
  • Keep the layers separate. Form responses are entries, Discord posts are community copies, and judging tool records are scores.

What the form does not do

  • It does not collect judge scores. All scoring happens in the judging tool.
  • It does not decide People's Choice. That is a community vote, so it is not tallied from form responses.
  • It does not replace the Discord post. Builders still post their work where the community can discover and celebrate it.
  • It does not make the Sheet public. The Sheet stays private to the form owner unless Dave chooses to grant someone access.
  • It does not fix a bad entry link. The team still has to open and check every link before judging.

Current status

Live and accepting responses

The form is published as PinoyHack: Submit Your Entry, anyone with the link can respond, and responses are being accepted.

Already connected to pinoyhack.com

The public site now sends builders to the official form in Step 3, “Submit it officially,” while still telling them to post the work in Discord for the community.

Response Sheet is private

The PinoyHack Entries link above is the real response spreadsheet, but Google will open it only for an account with access. That privacy is intentional: it protects the complete entry record.

Known cosmetic quirk

The file title inside Google Drive may still read “Untitled form.” The public form heading is correct, so do not rebuild or replace the form based only on that Drive label.

The game plan

We do not need 100 replies. We need a handful of officers to forward one good message to their members.

1

Start with externals officers

Presidents, External VPs and PR heads are the partnerships door of every org. They are flagged in the tables. One message per org, addressed to the named officer, through the org's public page or inbox.

2

Make forwarding effortless

The ask is never "join our thing." The ask is: here is a free hackathon with ₱12,000 in prizes, games, music, videos and websites, here is the one link (pinoyhack.com) and the Discord invite, please share it with your members.

3

Multiply through channels

Below the 100 sit the big rooms: the Filipino Web Development Peers Discord (about 7,285 members), pandesal.dev (about 6,438), GDGoC's 43 Philippine chapters, and DEVCON Campus ([email protected]). Check each room's rules and ask a mod before posting.

4

Track every reply

Log who was contacted, when, and what they said, in this page's working file. A forwarded message counts as a win even without a personal reply. No second message to anyone who does not answer.

House rules for this list. Public contacts only: every route here comes from the person's own site or their org's public page. Only 2 of the 100 publish a personal email, so the rest route through their org, stated plainly per row. Never guess or construct an email address. Rows marked "re-verify" must be checked before use. And Dave has the final yes/no on every single send: drafts first, nothing goes out on your own.

Held back: do not use yet

These leads surfaced in research but did not meet the bar (aggregator only sources, stale terms, incomplete names). They stay here so nobody wastes time re-finding them, and nobody contacts them by mistake.

Alexandra Antonette Palanog, UST

AWS Learning Club España (UST) co-founder per a LinkedIn aggregator only. Needs an org source first.

Josh Kenn Viray, UST

Named CEO of AWS Learning Club UST only by an aggregator. Not verified.

"Rye", UST

BS CS student with an AWS Learning Club UST role on his own site (r-bug.dev), but his full name is not published there.

Earl Tristan Isidro, UST

UST CICS Student Council President in AY 2024-2025. Term too old; useful only if the current council roster turns up.

Ateneo MISA org email

[email protected] appears only on Crunchbase, an aggregator. Verify on an org page before using it as MISA's contact.

GDG on Campus UP Manila

Leads exist (Tinio, Punzal) but UP Manila is a different campus from UP Diliman, so they are excluded on purpose unless Dave wants UP Manila too.
